Ensi Aesthetics
Photo-driven treatment plans, consent capture, and recurring follow-ups — all in one place.

The challenge
Aesthetics work demands more than scheduling: signed consent forms per treatment, before/after photos linked to the customer, and a treatment plan with multiple sessions over time. Ensi was using three separate systems — paper consent, a photo app, and a basic calendar — and reconciling them was a nightmare.
Step-by-step setup
Step 1 — Treatment plans (multi-session packages)
Defined each multi-session treatment under Services → Plans: e.g. "Laser Hair Removal — 6 sessions, 4 weeks apart, $1,800 total". Selling a plan creates the first session automatically and prompts to schedule the rest. All sessions inherit the same plan id, so progress is visible at a glance on the customer profile.
Step 2 — Medical history form (one-time)
Each new aesthetics client fills a 12-question medical history on the iPad at first visit: skin type, allergies, current medications, previous treatments, contraindications. Stored once, shown to the practitioner before every subsequent session. Editable if anything changes.
Step 3 — Per-treatment digital consent
Customer signs a consent form on the iPad before each individual session — different consent text per treatment (laser vs. injectables vs. peel). PDF auto-generates with timestamps, the practitioner's name, and the customer's signature, and saves to the customer profile. PDFs are downloadable for compliance audits.
Step 4 — Before/after photos with body-area tagging
Capture from the iPad camera; photos auto-tag to the customer, the treatment, and the body area (face, lips, jawline, etc.). Encrypted at rest, only visible to clinic staff. Side-by-side comparison view shows progress across sessions in one screen.
Step 5 — Practitioner notes per session
After each session, the practitioner records the protocol used (laser settings, units injected, products applied), any client reactions, and a free-text follow-up note. Notes carry forward to the next session's pre-prep view.
Step 6 — Follow-up automation
After each session, the customer gets a follow-up SMS at 24h ("How are you feeling? Reply if anything is unusual") and at 7d ("Pleased with the result? Book your next session here"). Replies thread back to the customer's profile.
Step 7 — Recall campaigns for top-ups
A "due for top-up" segment auto-flags customers approaching the end of a treatment cycle (e.g. 10 weeks after an anti-wrinkle treatment session). One-click SMS / WhatsApp bring-back campaign with a personalised "Time for your next visit?" message.
Step 8 — Loyalty & referral
Loyalty Club configured for 1 point per dollar with a $50 reward at 500 points. Plus a referral bonus: $25 off for both the referrer and the referred client when they book their first session. Referrals jumped from 4–5/month to 18/month.
Results
- 52% → 81% Re-booking rate
- 100% (was ~60% on paper) Consent compliance
- ~8 minutes Time saved per visit
Treatment plans alone were worth the switch — but having the consent and photos linked to the customer is what changed how we practice.
