The recording is transcribed by a speech model that ZibaDesk runs on Australian-hosted servers under our control. No audio is sent to any third-party AI service, and the recording is deleted as soon as the transcript exists.
Before anything is drafted, names, phone numbers, email addresses, dates of birth, street addresses and record identifiers are stripped from the transcript, so the drafting model only ever sees de-identified clinical content.
A draft note comes back in seven sections. The practitioner edits it, accepts it onto the client record, and a supervisor or senior practitioner signs it off. Nothing is stored as a note until a person accepts it.

Recordings are stored in ZibaDesk's encrypted clinical store, transcribed on infrastructure we operate in Australia, and deleted once the transcript is produced. They are never sent to an external AI provider.
The drafting model receives a transcript with names, contact details, dates of birth, addresses and identifiers already removed. It is instructed never to guess or restore them, and the draft comes back with placeholders where they were.
Recording requires the practitioner to confirm the client has agreed, using wording your clinic sets. Every start, accept and discard is written to the clinic's audit log. Clinics turn AI Assist on or off per business, and it is never on by default.
AI Assist drafts documentation from what was said in the room. It does not diagnose, recommend treatments or replace the practitioner's own judgement, and a person must accept every note.
