A skin clinic looks like a salon from the waiting room and nothing like one from the treatment room. Every visit can involve a health questionnaire, a signed consent, a dose recorded against an area of the face, a batch number, photos taken from the same angle as last time and a course of sessions planned months ahead. Booking software stretched to cover that ends in paper folders and camera rolls. This guide sets out what the best skin clinic management software has to do in 2026, shows how ZibaDesk does it screen by screen, and compares it honestly with the clinic platforms you are likely to shortlist.

The short answer

For an independent skin, cosmetic or laser clinic with one to five locations, ZibaDesk is our pick for 2026. It covers the clinical record (questionnaire, consent, injection maps, treatment charts, guided photos, treatment plans and notes) and the business side (online booking, rooms and devices, POS, packages, memberships and reports) in one app, at a flat price per business. Large groups that need enterprise rollout, and clinics that live inside a medical practice system, have strong alternatives below.

What skin clinic software has to do (how we judged)

We used the same eight criteria for every product, drawn from the way a clinic day actually runs.

CriterionWhat good looks like
Pre-visit formsThe booking confirmation carries a secure link to the health questionnaire and every consent the treatment needs, signed on the client's phone.
Clinical recordTreatment notes, injection maps with units per area, products with batch and expiry, scripts and sign-off, all on the client.
Before and after photosTaken at the same angle every visit, stored securely, compared side by side or with a slider.
Treatment plansCourses planned by month, with each session's booking status and the next session one tap away.
Rooms and devicesA day board by practitioner, room or laser, with clashes flagged before they happen.
PaymentsDeposits on booking, packages and memberships, gift cards, and doses charged at their unit price.
Security and rolesEncrypted clinical files, front desk kept out of clinical notes, a record of who signed what and when.
Price and fitWhat a three-practitioner clinic pays per month, with the clinical features switched on.

1. ZibaDesk: best overall for independent skin clinics

ZibaDesk is a booking, client and point-of-sale platform with a clinic mode built with cosmetic nurses and clinic owners. Switching it on adds the clinical record to every client and the Clinic Center to the app. Here is a client's journey through it, using a sample clinic with fictional clients.

Online booking that knows which forms each treatment needs

Clients choose a treatment, practitioner, location and time on your own booking page, in your colours and photos, or from a widget on your website. If you ask for a deposit or full prepayment it is taken through your own Stripe account, and there is no commission on any booking. The confirmation goes out by SMS, WhatsApp or email with a secure link to everything the client needs to complete before the visit.

Health questionnaire and consent, done before they arrive

New clients complete the health questionnaire at home; returning clients confirm nothing has changed, and any change creates a new version so earlier answers are kept. A senior practitioner can review and sign off each submission. Consent forms come from our templates or your own PDFs, in one list you switch on and off and link to treatments. Clients read, initial and sign on their phone, with no per-signature fee.

The Clinic Center: practitioners, rooms and devices

The Clinic Center shows the day by practitioner, by room or by device. Each booking shows whether its questionnaire and consents are done, who has arrived and who is in a room. A room or laser already in use is flagged before it is double booked.

Treatment notes and injection maps

Tap the face map where you injected and enter the dose. ZibaDesk names the area (glabella, forehead, crow's feet and more than twenty others, on female and male maps) and adds up the units per area and in total, with the batch number and expiry of the product used. One signed note per visit holds the consent, questionnaire, map, products and scripts together. Quick note lets a practitioner write a one-line treatment note from the appointment, the receipt or the client record when a full note is not needed.

Guided before and after photos

The guided camera puts a face outline on screen and turns green when the pose matches, for front, three-quarter and profile views, plus neck and body. Photos are lined up by the eyes and compared side by side or with a slider, so the comparison shows the treatment, not a different camera angle. They are stored encrypted on the client record with photo consent noted.

Treatment plans and courses

Lay out a course by month: anti-wrinkle treatment every three months, skin needling monthly, the event the client is working towards and their home-care products. Each session shows whether it is booked, and the next one can be booked straight from the plan. Prepaid packages track the sessions left, and memberships are billed each period with one tap, or automatically through your own Stripe account.

AI Assist: notes that draft themselves

With the client's consent, record the consultation or dictate a summary. A structured draft comes back in seven sections (presenting concerns, history, treatment, products, aftercare, follow-up and observations) for the practitioner to edit and sign. A person accepts and signs every note, and training clinics can require supervisor sign-off. AI Assist is included in Ultra within a fair-use monthly allowance.

Checkout, packages and memberships

Charge today turns the doses charted in the room into POS lines at their unit prices, beside the skincare sold at the desk. Gift cards, packages, memberships, store credit, cash rounding and end-of-day till close are all built in, and the next session is booked before the client leaves.

Security, languages and devices

Signed consents, signatures and clinical photos are stored encrypted, apart from everyday booking data, every access to them is logged, and cashier logins cannot open them. The data is backed up every night with an off-site copy, and consents and notes record who signed and when. The app runs on iPad, iPhone, Android and the web in eleven languages, including right-to-left Persian and Arabic, and clinical text such as consent templates and questionnaires follows the client's language.

  • The clinic suite is in Ultra only; Free and Pro are for salons
  • Not a medical practice system: no insurance billing or e-prescribing

2. Pabau: best for larger clinics that want a big all-in-one CRM

Pabau is one of the best-known names in aesthetic clinic software. Every plan includes online booking, forms with a form builder, document storage, payments and POS, and plans are sized by team (Solo, Team, Medium, Group and Enterprise). Prices are not listed on its pricing page; you book a demo for a quote, and annual billing saves up to 20%.

Strengths

  • Deep forms and form builder in every plan
  • Broad feature set for growing groups
  • Unlimited patient records

Watch out for

  • Prices not published on the pricing page
  • No free trial of the core plan
  • Review sites mention glitches and a pricing structure that is hard to follow

3. Boulevard: best for premium US med spas

Boulevard is a polished platform popular with upmarket US spas and med spas. Essentials starts at US$143 a month for one location with up to five providers, Premier and Prestige add more, and integrated forms are an add-on from US$65 a month per location. It is sold by demo, not by trial.

Strengths

  • Refined booking and client experience
  • Strong US payments integration
  • Well reviewed for ease of use

Watch out for

  • Expensive for a small clinic once forms are added
  • No free trial
  • Some reviewers report contract auto-renewal disputes

4. Mangomint: best for spas that like modular pricing

Mangomint prices by location and user: US$120 a month per location plus US$10 per user, with phone, marketing and payroll as paid add-ons. Onboarding and data transfer are free, and there is a trial with demo data. It suits US spas and salon-spas more than injector-led skin clinics.

Strengths

  • Clear modular pricing
  • Free data transfer
  • Clean, modern interface

Watch out for

  • Adds up quickly with add-ons
  • Clinical charting is not its focus
  • English only

5. Aesthetic Record: best for US injectors focused on charting

Aesthetic Record is an EMR built for aesthetic practices, with public per-user prices: Essentials US$15 and Accelerator US$19 per user a month, plus a US$399 one-time setup fee, an AI charting add-on and e-prescribing per prescriber. It is strongest on the clinical chart.

Strengths

  • Charting-first, built for injectors
  • Public prices and a 14-day trial
  • E-prescribing available in the US

Watch out for

  • US$399 setup fee
  • Reviewers describe the interface as clunky
  • Check which plan includes online booking

6. Zenoti: best for large chains with an enterprise budget

Zenoti runs large spa, salon and med spa chains, with enterprise reporting, marketing and multi-location control. Pricing is by quote, and SMS, voice and messaging are billed by usage. For a chain with an operations team it is a serious option; for an independent skin clinic it is usually more system, and more cost, than it needs.

Strengths

  • Built for multi-location chains
  • Enterprise reporting and controls
  • Business app in four languages

Watch out for

  • Prices by quote only
  • Long setup and learning curve
  • Usage-based messaging costs

7. Timely: best for simple, salon-style clinics

Timely is a friendly salon and clinic booking system priced per bookable staff member, with a 14-day free trial and no card needed. Third-party price guides list its plans at about US$26, US$39 and US$47 per staff member a month. It covers booking, payments and forms well, without the depth of injection mapping or guided photography.

Strengths

  • Easy to learn
  • Free trial with no card
  • Well reviewed

Watch out for

  • Per-staff pricing grows with the team
  • Less clinical depth than dedicated clinic tools
  • Prices not readable on its pricing page without JavaScript
Also considered: Cliniko (US$95 a month for 2 to 5 practitioners, 30-day trial) is a strong general practice system for allied health, but it is not built around aesthetic consent, photos and injection charting. Fresha and Vagaro are covered in our nail salon guide; both are better known as salon tools.

What skin clinic software costs in 2026

Clinic software is priced in three ways: per business (ZibaDesk), per practitioner or calendar, and by quote for enterprise. Per-practitioner pricing looks cheap for one injector and grows fast with a team, so price the clinic you will be in a year from now, with every clinical feature you need switched on.

ZibaDesk's clinic suite is part of Ultra at US$39.99 a month per business, with unlimited staff and up to five locations. Clinics get 14 days of Ultra free with no card. Prices are shown in your own currency on our pricing page. There is no commission on online bookings and no per-signature fee. Ultra includes 300 SMS a month, and more are bought in bundles.

Five questions to ask every vendor

  1. Can a new client complete the questionnaire and every consent before the visit, from the booking confirmation? Ask to see it on a phone.
  2. Is the consent attached to the treatment, the photos and the note of that visit? Anything other than yes means staff will be joining it up by hand.
  3. How are before and after photos kept consistent? Look for a guide on screen, not just a camera button.
  4. What does a three-practitioner clinic pay with every clinical feature on? Get it in writing, including SMS and payment fees.
  5. Who can see clinical notes? Front desk should be able to book and take payment without reading them.

Moving your clinic to ZibaDesk

  1. Sign up and choose the aesthetic clinic business type; your 14 days of Ultra start straight away.
  2. Import clients from a spreadsheet exported from your current system.
  3. Add treatments with their durations, rooms and devices, and link the consent forms each one needs. Upload your own PDFs or switch on our templates.
  4. Edit the health questionnaire, then add your practitioners and their hours.
  5. Connect Stripe for deposits, choose your booking page style and share the link.
Start with new bookings only. Old records can stay in your previous system as an archive while every new visit, signature and photo is created in ZibaDesk.

Frequently asked questions

What is the best skin clinic management software in 2026?

For most independent skin, cosmetic and laser clinics we recommend ZibaDesk: it keeps the questionnaire, consent forms, injection maps, treatment charts, guided before and after photos and treatment plans on one client record, alongside online booking, payments and memberships, for US$39.99 a month per business. Large chains that need enterprise rollout may prefer an enterprise platform.

Can clients sign consent forms online before their appointment?

Yes. In ZibaDesk you link consent forms to treatments; when a client books, the confirmation includes a secure link where they read, initial and sign each form on their phone. Staff can add or remove forms on any booking, and there is no per-signature fee.

Can I use my own consent forms?

Yes. Upload your own PDF and place tags such as the client's name and signature where they belong, or switch on the built-in templates. Both sit in one list, and signed copies are filed on the client record.

How do I keep before and after photos consistent?

Use a guided camera. ZibaDesk shows a face outline that turns green when the pose matches, then lines photos up by the eyes so you can compare them side by side or with a slider.

Is skin clinic software the same as medical practice software?

No. Skin clinic software like ZibaDesk is built around bookings, consents, photos, treatment notes, packages and retail. Medical practice systems add insurance billing, referrals and prescribing. Many cosmetic clinics need the first, not the second.

Which ZibaDesk plan do clinics need?

The clinic suite is part of Ultra, at US$39.99 a month per business with unlimited staff and up to five locations. Clinics get 14 days of Ultra free, and AI Assist notes are included within a fair-use allowance.
